Summary

In the New employee offer process, the HR manager submits the details of a new employee offer to be reviewed by the hiring manager and the finance manager. If both approve the offer, then a web-entry form is sent to the candidate to accept and sign the offer letter. In any step, the user is able to submit back the form for revision.

  1. The HR manager starts the Employee Offer V 1.0 process and submits the details of a new employee to be reviewed by the Hiring Manager.

    • In the Candidate Information Section fill the candidate’s information .

      • For DEMO purposes - choose a role in the Registrar’s office/department.

    • In the Compensation details section clicking on the Add button is possible to insert different types of Compensation Components, and add as many rows as required. Then, fill in the Total annual gross salary and the Annual compensation fields.

      • For Demo purposes: In higher education, it is common for staff to report and have budget line items across multiple departments. They can also have more than one role for which they are paid (e.g., if they teach a Freshman Orientation course paid as a stipend). Therefore, I recommend adding 2 salary components:

        • Base Salary - 2,000/month

        • Stipend - Freshman Orientation - 200/month

    • In the Supporting documents section attach any files needed for the reviewers consideration.

    • Lastly, add your Signature and in the HR Comments field include any comments for the Hiring and Finance managers.

    • Please note that the Job Offer Letter is generated after this task, and it is attached in the email notification to the Hiring Manager

  2. The Hiring Manager can review the Job Offer details, include comments and, either to Send back to the HR Manager or Approve it. In the latter case, the form is submitted to the Finance Manager as well as an email notification .

  3. The Finance Manager can review the Job Offer details, include comments and, either to Send back to the HR Manager or Approve it. In the latter case, the form is submitted via email with a link to a web-entry form to the Candidate’s Email, who receives attached the Job Offer Letter.

  4. The Candidate can review the Job Offer details, include comments, sign the form and, either Accept the offer or Decline and Send Back to the HR Manager.

    • If the Candidate accept the offer, then the Job Offer Letter including the candidate’s signature is generated, and is sent to the HR Manager and to the Candidate via email. The case is, then, closed.

    • If the Candidate declines the offer, the form is returned to the HR Manager, and she can either Close the case or adjust the offer details and Submit the form again to the Hiring Manager
